2012-2013 GRADUATE HOUSING CONTRACTS

IMPORTANT DATES & PROCESSES

 

All current contract holders in Graduate & Family Housing must follow the three steps below.

 

STEP 1: THE GRADUATE HOUSING INTENTION (GINT) SURVEY - 

             March 1 – April 6, 2012

ALL current contract holders in Verano Place and Palo Verde must submit their housing plans for 2012-13

  • Lease Holders: Request a lease renewal for 2012-13, a summer lease extension (if available) OR state your intention to vacate by June 30, 2012. NOTE: Residents who moved in after June 1, 2006 are lease holders.
  • Month-to-Month Contract Holders: Indicate your plan to vacate by end of summer OR to stay through Fall 2012, Winter 2013 or Spring 2013. NOTE: Residents who moved in prior to June 1, 2006 are month-to-month contract holders.

The GINT Survey Link will be sent by UCI email on March 1st

  • This email will also include your current housing status, e.g., admissions date, academic program, and length of stay limit for housing. If you feel any of this information is incorrect, contact your housing office IMMEDIATELY.
  • Residents who have reached their length of stay limit in June 2012 may submit an Extension of Stay Request as part of the 2012-13 Graduate Housing Intent (GINT) Survey.  If they intend to vacate by June 30th, they should indicate that in the GINT Survey as well.

The GINT Survey submission deadline is April 6, 2012 @ 11:59pm

  • Lease holders who do not submit their GINT Survey by April 6, 2012 will be expected to vacate their apartment by June 30, 2012.
  • Month-to-month contract holders who do not submit a 2012-13 GINT Survey will be contacted to confirm their intention to vacate by August 31, 2012.

 

STEP 2: FOLLOW UP CONFIRMATION AND NOTIFICATION –

             APRIL 11, 2012

 

  • On April 11, 2012, check your UCI email for notification from the Associate Director of Apartment Life in your community. It will:
    • Advise you of the status of your request/submission
    • Inform you of follow-up action you must take and the associated deadlines.
    • Identify your assigned window of days to visit your community office to complete required paperwork.
  • Students who are part of the graduate housing guarantee program will be approved for lease renewal as long as they are within the length of stay limit and meet all other eligibility requirements.
  • Lease renewal for residents who hold annual leases but are not part of the guaranteed housing program will be based on space availability after community assignments for 2012 Graduate Guarantee participants are completed in early May.

STEP 3: IN-PERSON DOCUMENT COMPLETION

  • Go to your community housing office during your assigned window to complete required paperwork (e.g., lease, lease extension, closeout forms, vacate notice)
  • Spouses/Domestic Partners must also visit the community housing office to complete required paperwork.
  • Contact your community office NOW if you and/or your spouse/domestic partner anticipate being out of the area between April 16 and May 11, 2012.

 

INSTRUCTIONS FOR…

  • Lease extensions for summer months (July – August)
  • Requesting a new housing assignment (for another apartment or housing community)
  • Changing domestic status and apartment assignment

Summer lease extensions: Residents who want to request a limited term lease extension beyond June 30, but no later than August 31, 2012, may do so on the GINT Survey. The April 11th email will provide you with the status of your request and a date to come into your housing office and complete the lease extension form.  PLEASE NOTE: (1) Extension requests are not guaranteed, and will depend on space availability after placement of incoming guaranteed students. (2) The approved extension date may not be the exact date you requested in your GINT survey.  (3) VERANO PLACE RESIDENTS: Due to the demolition and renovation projects scheduled for the summer of 2012, lease extensions will be approved on an exceptional basis only. Specific instructions for lease extension requests for Verano Place residents will be included in the GINT survey.

 

Requesting a different apartment type or transfer to another housing community:

Residents who want to transfer to another apartment or community (Palo Verde, Verano Place, or Campus Village) can follow these steps to get on the waitlist for another GFH placement. (More on GFH Transfer Policy here)

    • Submit the GINT Survey by April 6, 2012. On the survey you should request a lease renewal and indicate your interest in changing your housing assignment.
    • Submit a new pre-paid housing application via the Housing Gateway (between March 1 and April 6) indicating your new housing preferences.
    • Follow instructions received in your April 11th email notification, and go to your community housing office on the dates assigned to complete the necessary paperwork.

PLEASE NOTE: If requesting a transfer between Verano and Palo Verde, you will remain on the waitlist for a housing transfer until your name is reached AND you have been in your current assignment for at least 12 months.  You will be contacted via UCI email regarding a new housing offer.

 

Changing Domestic Status and Apartment Type: If you want to move from a single space to a family apartment, follow the instructions 1 – 3 above. To secure a housing contract for a family apartment, you will need to provide the required documentation, and your spouse, domestic partner or children CANNOT reside with you while you are housed as a single student. You MUST wait until you are relocated to a family apartment.
