Mandatory Graduate & Family Housing Intention Assessment and Housing Agreement Renewal Process

Frequently Asked Questions

What is the mandatory online housing intention assessment?

In order to facilitate placement of incoming students with guaranteed housing, Student Housing must identify the number, type, and location of spaces that will open up each summer. Therefore, all current agreement holders must go online to indicate their intent to vacate or continue their residency in Graduate and Family Housing during the 2025-2026 academic year. The mandatory online assessment will be open to all housing agreement holders between: February 13 through March 12, 2025 (by 11:59pm).

Important Deadlines
  • Mandatory Online Housing Intention Assessment: The last day to complete your assessment and declare your residency intention is March 12, 2025, (by 11:59pm)
  • Housing Agreement Renewal for Graduate Guarantee Students, Veterans and other Guarantee Students who are within their Length of Guarantee: March 6 – March 21, 2025
  • Notification Regarding Approved Extensions beginning: March 25, 2025
  • Summer Extension Agreements: March 27 – April 1, 2025
  • Housing Agreement Renewal for Waitlist Placements (or those past their guarantee expiration but not past their maximum time to degree): April 3 – April 15, 2025
  • Housing Bills Post to ZOT Account for July: May 15, 2025
  • 2024-25 Housing Agreement End: June 30, 2025. Extension requests may be made from July 15 – August 24, 2025
What if I believe there is an error in my Graduate Housing Status information?
The assessment includes a verification of your length of guarantee and guarantee expiration date (if entered as part of the graduate guarantee program) on file in Student Housing records. If you believe the information in your housing file related to your guarantee status is incorrect, please note the dispute in your assessment. Below is a brief summary of each of these categories.

  • Guarantee Expiration: This field will indicate the term your graduate guarantee will expire. For graduate students, your length of guarantee is equal to the normative time.
  • No Guarantee listed: This indicates you were placed as a waitlist placement and are not eligible for assured renewals.
I was given a waitlist placement. Can I renew?

Residents placed through Waitlist Placement: Housing agreements expire on June 30th of each year and are not assured for renewal. In the event space becomes available, you will be contacted regarding your request for renewal. We currently hope to be able to renew most residents in good standing this year.

What if I am traveling, away from campus, or working during the day during my housing agreement signing window?

This should not impact your ability to complete the housing agreement. Housing agreements will be sent out via DocuSign. The important thing is to check your UCI email during your housing agreement renewal period. If you do not get an email from us at the start of the housing agreement period, check your junk mail. If you do not see it in either place, email your Assignments Coordinators and we will be happy to resend it to you.

Will my housing rate change?

Housing rates for 2025-2026 will be posted on the Student Housing website when they are approved by the University. This should occur prior to any student being asked to return a housing agreement for the 2025-2026 academic year. You will also be mailed a letter regarding the new rates no later than May 15, 2025.

What happens if I do not receive a housing agreement renewal?

The 2024-2025 housing agreements end June 30, 2025. Students who do not receive a renewal will have the option to request a summer extension. You may also reapply to the waitlist beginning March 1, 2025. Students who do not receive an extension will be required to vacate their apartment by June 30th, 2025. Graduate and Family Housing wants to support all students with their housing, whether on or off-campus. We will provide access to information focusing on housing options off-campus as well as campus resources, such as ACC housing information. For the 2025-2026 academic year, we are currently hopeful that we will be able to renew most residents in good standing.

What if I am graduating and starting a new academic program at UCI?

Congratulations! If you are starting a new program, please be sure to submit your Student Intent to Register (SIR) for your new program and be sure to request a renewal in the graduate and family housing intention assessment process.

What do I need to do if I want to request to renew my agreement?
  • You need to meet eligibility requirements and remain a full-time student in Fall 2025 to renew your housing agreement. You are not eligible for a housing agreement renewal at this time if you are graduating in the Spring or Summer of 2025 and not starting another UCI academic program that qualifies you to live in Graduate and Family Housing.
  • On your assessment, choose the option: request to renew your housing agreement for the housing agreement term of July 1, 2025 – June 30, 2026.
    • If you meet all eligibility requirements to live in Graduate and Family Housing and for the guarantee and are within your Guarantee expiration date, you will receive a notice in late March to renew your housing agreement, which will be attached to the email.
    • Note: Waitlist placements may request a renewal but are not assured a renewal. Waitlist placement requested renewals will be considered in April, after the guaranteed renewal process.
  • When you receive your housing agreement, return your signed housing agreement by the deadline stated in the email. Failure to return a completed housing agreement could result in housing agreement termination being initiated and your apartment being offered to someone else.
  • If we are unable to renew your housing agreement, you will receive a notice to vacate. Your 2024-2025 housing agreement will expire on June 30, 2025. If you would like to request a summer extension upon learning you cannot renew, you will need to contact the Assignments Service Center or your Assignments Coordinator within seven business days of receiving the signed attachment.
What if I have been notified that I am at my Maximum Time to Degree?

Those who have reached maximum time to degree cannot renew or request a summer extension and should plan to vacate on June 30, 2025.

What is the policy for transferring apartments?
  • Residents wishing to move between the Campus Village, Palo Verde and Verano Place communities must submit an application to the GFH waiting list through the housing gateway.
  • In addition to the standard eligibility criteria, resident applicants must have lived in their current assignment for at least 12 months and have no outstanding balances on their housing account before they are eligible for transfer.
  • Internal transfer placements from the waitlist are made as spaces become available beginning in October.
What do I need to do if I want to transfer from a shared to a full apartment or vice versa?

You must renew your housing agreement for your current apartment and submit a new housing application with your requested preferences (and domestic status, if applicable) listed. The application opens March 1, 2025.

PLEASE NOTE Transfers are not guaranteed; placements depend on availability and GFH application completed date.

  • You must be a full-time student in Fall Quarter 2025 in order to renew your housing agreement. You are not eligible for a housing agreement renewal/transfer at this time if you are graduating in the Spring or Summer Quarters of 2025 and not starting another eligible UCI academic program.
  • On your housing intention assessment, choose the option to renew your housing agreement for the contract term of July 1, 2025 to June 30, 2026.
  • You need to complete a new 2025 graduate and family housing application, opening on March 1, 2025, including your new preferences and new domestic status (if applicable). To apply, follow the link below, log-in using your UCInetID, and complete the housing application.
  • Students who have a change in their household and want to transfer from a full apartment to a single apartment should email their Assignments Service Center. Apartment conversions are not guaranteed and any changes will be based on availability and your current place on the housing waitlist.
What do I need to do if I want to request a summer extension?
  • On your assessment, choose the option: request to extend your stay for some portion of the summer.
  • Please include the vacate date you would like to request for your extension between July 15 and August 24. Extensions will not be approved beyond August 24, 2025 and most extensions are granted for dates prior to August 12, 2025.

After the assessment, you will receive an email confirming your request and notifying you of the final decision. We take all requests into consideration, then look at what we are able to accommodate. The confirmation email will include one of the following decisions:

  • Extension approval for the date requested. Along with this approval, you will receive a renewal for the entire 2025- 2026 term and a Termination Close-Out/amendment which will be dated with your approved extension. Both the signed agreement and Termination Close-Out form need to be returned by the date listed, for your extension to be finalized.

OR

  • Extension approval for the best date we can offer based on your request and our availability. Along with this, you will receive a renewal for the entire 2025-2026 term and a Termination Close-Out form/amendment which will be dated with your approved extension. Both the signed agreement and Termination Close-Out form need to be returned by the date listed, for your extension to be finalized.

Once the extension is approved, we will not modify the extension date. This is the best date we could provide you.

What do I need to do if I want to vacate June 30, 2025?
  • On the assessment choose the option: you do not want to renew your housing agreement and that you plan to vacate by June 30, 2025.
  • Your Assignments Coordinator will send you a letter via email confirming your vacate date. You will receive close-out paperwork that you will need to complete and return.
  • Once housing agreement expiration is sent and paperwork is confirmed, you cannot modify your request. If your plans change later, you will need to apply for housing through the housing waitlist.
  • You will receive instructions via email for cleaning, key return and a request for your forwarding address.
  • Completion of the Close-Out form serves as a formal acknowledgement of your notice to vacate the apartment on the approved date and cannot be revised at a later date.
